Circulation Procedures

CHARGE

Pink title cards kept on floor in box labeled “digital audio books”. On same or nearby carrel as BOC/BOCD. Title cards will have:
  • Synopsis
  • Title
  • Author
  • File size
  • Running Time
  • "explanatory" note ("...if all players are out...")

Patron selects title card(s) up to 64 MB and gives to librarian. Librarian confirms that the limit of 64MB has not been exceeded.

      Librarian checks for available player

a.     If player(s) in:

   Check player(s) to determine if title wanted is already loaded on an available player(s). If yes, skip to “4b”.
   If title wanted is not loaded but available (not checked out), Librarian selects a player & places with title card, writes down patron’s name & phone #, and date. Tells patron that title will be loaded & player will be available for pick up within 2 business days and that patron will be called by library staff when ready. No charge for hold (for the duration of grant). Librarian gives player, title card and patron information to Audio-Visual Librarian (If no Audio-Visual Librarian then give to Hold Clerk. If no Hold Clerk then give to Technical Services Senior Library Clerk).

b.      If all players are out:

   Librarian takes title card & fills out G-229 form and gives to Hold Clerk.
  Librarian informs patron that next available player will be loaded with title and held for 10 days for patron to pick up.

Player is ready to be checked out:

  a.Librarian retrieves loaded player from e-book shelves. Will have attached hold pick-up form with patron’s information.
  b.Librarian demonstrates operation of player and will mention that patron is not 'required to return player with a new/charged battery.
  c.Librarian gives patron rules/release form to read & sign
  d.Patron is checked out by desk aide
e.Signed release forms go to Hold Clerk


RETURN

1)      Patron returns player to desk aide
2)      Desk aide puts backdate slip in pocket & gives to Hold Clerk. Any overdue fines can be paid at patron’s next visit
3)      Parts Checked:

a)      Player, headphones, cassette adapter, carrying case, user guide
b)      Check for a battery & test charge (if less than 50%, replace with new battery)

4)      Damage check:

a)      Turn on player to see if it plays
b)      Check all parts for damage (cracks, scratches, marks, etc.)
c)      Make sure headphones are working( If extraordinary amount of damage is found, we will circulate without headphones)

5)      Shelving Preparation

a)      Check for evaluation form. Give completed forms to Library Director & replace w/ new
b)      Replace alcohol swab if used (found in A/V cabinet marked “DAB WIPES”)
c)      Put blank release form in bag and mark previously returned form
d)      If no problems, discharge according to backdate slip
e)      Retrieve title card from box behind desk & put on media cart to be shelved

6)      Reserves

a)      Check reserve box for reserves
b)      If reserves, take 1st reserve (reserves filed in date order)
c)      Give reserve & title card to Audio-Visual Librarian to load title
d)      Audio-Visual Librarian loads title, calls patron, fills out G-28 & gives patron 10 days for pick up. Puts on e-book shelf.

7)      Holds:

a)      Holds are filled by date requested. Holds are kept in box on Hold Clerk's desk.
b)      If patron requests title but no players available:

i)     Librarian fills out G-229 & gives to Hold Clerk with title card.
ii)    Hold Clerk files G-229 & title card together in Hold Box.

c)      If patron requests title already circulating on another player:

i)     Librarian fills out G-229 form & gives to Hold Clerk (without title card so Hold Clerk knows that title is out)
ii)    Hold Clerk determines which player has requested title on it


A)    If no other holds (at all)-Hold Clerk places item specific hold on the player with the requested title currently loaded on it (on internal card “GATES/DAB/TITLE RESERVE”). When discharged & hold appears, Hold Clerk notifies patron.

B)     If other holds (for any title)-Hold Clerk places item level hold. When player returned, player is loaded to fill next hold by date . The title card for title is attached to G-229 form in the reserve box where it is filed by date.

To summarize this: If Patron A comes in on Tuesday and checks out Dreamcatcher on Player A and patron B comes in on Wednesday and asks to hold Dreamcatcher when it is returned, the Librarian fills out a hold slip and places it, without title card, on Hold Clerk's desk. Hold Clerk then places an item specific hold on Player A so that he knows when Dreamcatcher is returned. When Player A comes back Hold Clerk discharges it and sees that there is a title hold on Dreamcatcher. If the Dreamcatcher hold is the next hold in the box by date Player A fills that hold. If the Dreamcatcher hold is NOT the next hold Hold Clerk uses Player A to fill the next hold by date and attaches the title card to the Dreamcatcher hold. This process would be repeated if there were more than one hold on a particular title.
